RE: REPORT ON THE FINAL UTILISATION OF GRANT FOR BOREHOLE DRILLING / SOLAR INSTALLATION ON WHITE BOARDS

Subject to: Nyajena Secondary School, Zimbabwe. BM7251. This report gives a summary on the final utilization of the grant balance of $521.24 which was left after drilling of two boreholes and installation of solar capacity on one of the drilled boreholes. The balance is to purchase classroom white boards. Basing on your response of approval to purchase white boards, finance meeting was done on 07 May 2024 and the procurement team was given a task to do quotations online.
Information for quotations seeking was published to various bidders and three bids were received online.

The adjudication was done on 08 May 2024 and Macedonia projects won the bid. This was due to the fact that:

  1. The company quotations had low prices.
  2. The company had the white boards in stock.
  3. The company had the correct size of the boards needed by the school 

A cash withdrawal of $511 was done on 09 May 2024 and the school managed to purchase the following

RE: REPORT ON THE FINAL STAGE OF THE UTILISATION OF: GRANT FOR BOREHOLE DRILLING / SOLAR INSTALLATION

Subject to: Nyajena Secondary School, Zimbabwe. BM7251. This report gives a summary on the final stage of the project that is of solar capacity installation. The meeting held on 28 February 2024 declared that, drilling of two boreholes was successful. The house agreed to proceed and seek quotations for electrical and plumbing materials. Bidders were given Monday 04 Monday 2024 as the deadline and Tuesday 5 March 2024 was set for adjudication process.

Information for quotations seeking was published to various bidders. Only two bids were received. Some companies failed to meet the deadlines while others failed to meet the statutory requirements. The adjudication was done 05 March 2024 and Civil Power Electrical
won the bid. This was due to the fact that:

1. The company quotations met the project expectations and requirements.
2. The company had the lowest bid on labour
3. Their reference points showed professional work

The quotations showed that the prices of both the electrical and plumbing materials werequite high hence, the house agreed to work on one borehole with two (2) water tanks and 8 taps. This single borehole will supply water to both the classrooms and staff houses. Quotations for materials were sourced from reputable suppliers like Electrosales, Halstedsand N.Richards. On 09 March 2024, payments for plumbing and electrical materials were made. On 13 March 2024, all the purchased material were collected and transported to school. Installation processes commenced on the same day. Below is a picture showing the process of fitting solar panels.

On 14 and 15 March 2024, the pump was installed into the borehole and all the piping process was done.
Final connections of pipes to the tanks and taps were done on 16 March 2024. Below are pictures showing connections which were made at the tanks and water oozing from the taps.
There are eight (8) water points connected to the system. Four (4) of them are supplying water to the staff cottage, three(3) are supplying water to the school for pupils and garden and one (1) is outside the fence giving water to the community. On 18 March 2024, the tender committee, school administration and SDC met for a meeting to make the final assessment of the work done by Civil Power Electrical so as to determine the workmanship. The team managed to assess all the work done and they were satisfied. They recommended that Civil Power Electrical labour be paid for the work done.

SUCCESSES

  • Drilling of two (2) boreholes 80m deep each
  • Installation of one solar powered borehole
  • Meeting deadlines set on each meeting
  • All stakeholders cooperated fully

CHALLENGES

  • Wet weather slowed down the progression of works
  • Fewer quotations since some companies failed to meet deadlines on quotation submissions
  • Some companies did not to meet the statutory requirements


WAY FORWARD

NB: The second borehole needs solar installation to boost farming operations at the school.

Currently the school has limited capacity to equip this other borehole
